Organise a concert

Are you planning a concert or event at KMH? Here you will find a clear step-by-step guide for students and teachers on how to plan and book a concert within the framework of KMH’s educational programmes.

How to organise a concert at KMH

1. Link the concert to a course

  • All concerts must be part of a course with a designated course coordinator (teacher).
  • If you are a student: discuss your idea with the responsible teacher before proceeding.

2. Set date, time and venue at least 2 months in advance

  • Contact the concert producer:
    producent@kmh.se
  • Discuss your proposal and agree on the date, time and venue for the concert.The concert producer will then send you links to two forms that must be completed:
  • Marketing form – text and image material for KMH’s online event calendar
  • Technical rider – equipment, instruments and other technical requirements

3. Complete the forms at least 1 month in advance (for event publication and ticket release)

  • Return the completed forms to the concert producer.

Once the forms have been submitted:

  1. The concert is published in KMH’s event calendar
  2. Bookable tickets are released

4. Programme notes or set list at least 1 week in advance

  • Template for programme notes (link below).
  • The programme will be published digitally in the online calendar; KMH does not print programmes.
  • If you are not using a programme, please submit a Set list in text to the concert producer. This is required for music reporting and statistics.

This process applies regardless of whether the concert takes place at Campus Valhallavägen, Campus Edsberg, or at an external venue.

Marketing

All concerts are published in the concert calendar on kmh.se.

The concert producer will send out a form to be completed no later than one month before the concert, including the following content:

Texts:

  • Title (“First name Last name degree concert”)
  • Intro, e.g. “Violinist First name presents, together her their trio, a programme focusing on folk music from Dalarna”
  • Descriptive text (here you may elaborate more freely on your artistic idea; preferably end with list of participating musicians)

 

Images:

2 images, high resolution:

  • One portrait (vertical) image to be used as a background for posters on digital screens, at least 1080 pixels wide.
  • One landscape (horizontal) image to be used as a banner in the website calendar, at least 1190 pixels wide.

 

If you do not submit the information no later than three weeks before the concert, the concert may take place without an audience.

Photographer / creator
The photographer or creator must always be credited, and you are responsible for ensuring that the image may be used from a copyright perspective. If you use AI-generated images for your concert, this must be clearly stated. The same applies to images used in projections or other visual elements during the concert.

  • The images must not contain any text.
  • Through a separate form, you will submit information about the technical rider to the production department, see below.

Technical rider and Stage plot

For concerts, you need to specify what equipment and technical support you require. Approximately one month in advance, you will be asked to complete a technical rider form with all this information, which will then be provided to the technicians in the production department.

We require this information even if the concert is entirely acoustic. The clearer and more detailed you are, the better we can prepare for your technical needs.

In the form, you will specify:

  • whether you require a grand piano
  • which musicians are participating and which instruments will be used
  • whether you need a sound engineer during the concert and in what capacity
  • and upload a stage plot

Amplified concert

If you are planning an amplified concert, it is important that you describe everything the sound engineer needs to know, such as:

  • backline requirements
  • number of microphones
  • whether you need a drum kit, amplifiers, or other technical equipment
  • whether you will use backtracks, vocal effects, or bring your own equipment
  • and any other relevant information needed for preparation

Stage plot

It is also important to provide a stage plot—a schematic drawing showing how you want the stage to be set up. The easiest way is to sketch it using one of the templates below, then scan it and attach it to your technical rider.
